Quotation and Invoice Terms and Conditions

Acceptance 

These terms apply to every quotation and invoice issued by Butterfield Hot Water Systems. Payment of the booking deposit confirms that you accept these terms. Please read them before paying.

QUOTATION AND PRICING
1. Validity
This quotation is valid for 14 days from the date of issue unless otherwise stated on your quote. After that we may re-price to reflect current supply costs.

2. Basis of quotation
Prices are based on a standard installation. A standard installation assumes safe and reasonable access to the cylinder location, replacement of an existing hot water system, existing services in serviceable condition, connection to town water supply at adequate mains pressure, and that no structural work, asbestos handling, or remediation of pre-existing non-compliant work is required.

The following may result in a non-standard installation and additional costs under clause 3:

  • The property is not connected to town water supply, and does not have a pressure pump fitted.

  • An existing wetback or solar water heating system is connected to the current hot water system and additional work is required as a result.

  • The installation involves converting from a gas hot water system to an electric system and additional work is required as a result. For example, the installation involves converting the hot water system from gas to electric, where gas supply is retained for other appliances such as a stovetop or gas fire. 

  • The house is multi-storey, and the hot water system is located above ground floor or behind a concrete floor, where this affects access.

  • Where the house is adjoined to another dwelling, or is multi-storey with the hot water system located above ground floor or has a concrete floor, we may be unable to complete the installation as quoted. We will assess this on site or from the information and photographs provided and will advise you before proceeding if we are unable to complete the work, or if the job can only proceed on a revised basis

  • Where the existing cylinder cannot be removed through the available access, we leave it in place. It is fully drained, isolated, and electrically disconnected so that it is safe, and your new system is installed in an alternative position. We agree the new position with you before your installation date. The old cylinder remains your property and its removal is not included in the price.

2a. Heat pump noise
Heat pump hot water systems produce noise while running. Sound levels are stated in the manufacturer's specifications for your unit and are available on request.

Before installation we agree the position of the outdoor unit with you. Where the position is near a boundary, a bedroom window, or an adjoining dwelling, we will advise you of this and you confirm the position before we proceed. We select the position to minimise noise for you and your neighbour, and we install in accordance with the manufacturer's clearance requirements and the noise limits applying under the relevant district plan.

Once installed in the agreed position, audible operating noise within the manufacturer's stated levels is normal and is not a fault. Relocation of the unit after installation, or removal and replacement with an alternative system, is chargeable additional work and is not covered by warranty.

If you have any concern about noise, raise it with us before your installation date.

3. Variations
If conditions on site differ from those assumed above, additional costs may apply. We will contact you and obtain your approval before carrying out any additional work. You will not be charged for a variation you have not approved.

4. Prices
All prices are in New Zealand dollars and  the total price includes GST unless stated otherwise.

5. What is not included 

Unless expressly listed on the quotation, the price excludes: 

•  Repair or replacement of existing pipework, valves, wiring, or switchboard components found to be defective. 

•  Asbestos identification, handling, or removal. 

•  Building, tiling, painting, or making good beyond reinstatement of the immediate work area. 

•  Upgrades required by an electricity network operator or territorial authority. 

• Any work arising from pre-existing non-compliance. 

•  Any work arising from obtaining Building Consent, Resource Consent, or other Council approval, including but not limited to consent application fees, additional inspections, engineering reports, or work required to meet consent conditions.


BOOKING AND PAYMENT

6. Acceptance and deposit
The quotation is accepted when you pay the 50% booking deposit by bank transfer. Payment of the deposit confirms your acceptance of these terms. Your installation date is not held until the deposit is received.

7. Balance payment
The balance is due on completion of the installation and is collected by direct debit through GoCardless under the direct debit authority established at the time of booking. Where a direct debit authority is not in place, the balance is payable by bank transfer within 2 days of completion.

8. Deposit refunds and cancellation
If you cancel more than 48 hours before the scheduled installation date, your deposit is refunded less any costs already committed on your behalf (including ordered product that cannot be returned for full credit). If you cancel within 48 hours of the scheduled date, or if our installer attends and cannot proceed for reasons within your control, a call-out fee of $250 incl. GST applies.

10. Overdue amounts 

Amounts outstanding beyond the due date may incur default interest at 2% per month, together with any reasonable costs of recovery including collection agency and legal costs. 

11. Invoice queries 

Any query about an invoice must be raised with us within 7 days of the invoice date. Amounts not in dispute remain payable in accordance with these terms. 

DELIVERY AND INSTALLATION 

12. Scheduling 

Installation dates are subject to product availability and remain indicative until confirmed by us. We are not liable for delays caused by supplier lead times, weather, or other matters outside our reasonable control. 

13. Installation and compliance 

Work is carried out by registered tradespeople engaged by Butterfield Hot Water Systems. Plumbing and electrical work is completed in accordance with the relevant New Zealand standards, and a Certificate of Compliance is issued for electrical work where one is required. 

13. Site access 

You are responsible for providing safe and clear access to the work area on the scheduled date, and for the removal of stored goods or obstructions from the cylinder location before we arrive. 

WARRANTY, OWNERSHIP AND LIABILITY 

14. Product warranty 

Your cylinder or heat pump carries the manufacturer's warranty for the term stated on your quotation. The manufacturer's warranty is provided by the manufacturer and is administered by us on your behalf. 

15. Workmanship warranty 

Our workmanship is warranted for 12 months from the date of completion. 

16. Warranty exclusions 

Warranty cover does not extend to:

• Damage caused by water quality, corrosion, freezing, power surge, or incorrect operation.

• Failure to carry out the maintenance required by the manufacturer.

• Work or alterations carried out by anyone other than us after installation.

• Existing pipework, valves, fittings, or tapware that fail as a result of the change from low pressure to mains pressure. Older pipework is not always able to hold mains pressure, and we cannot warrant components we did not supply.

Nothing in this clause limits your rights under the Consumer Guarantees Act 1993.

17. Ownership 

Ownership of all goods supplied remains with Butterfield International Limited until payment is received in full. Risk in the goods passes to you on installation. 

18. Consumer Guarantees Act 

Nothing in these terms limits your rights under the Consumer Guarantees Act 1993 where you acquire goods or services from us as a consumer. Where goods or services are acquired for the purposes of a business, the Consumer Guarantees Act 1993 does not apply. 

19. Liability 

To the extent permitted by law, our liability is limited to the price paid for the goods and services supplied. We are not liable for indirect or consequential loss, including loss of income or loss of use. 

GENERAL 

20. Privacy 

Information and photographs you provide are used to quote, schedule, and complete your installation, and are shared with our installers and suppliers for that purpose only. You may request access to, or correction of, the personal information we hold about you. 

21. Governing law 

These terms are governed by the laws of New Zealand.
